We collect the following types of information when you use AAC Neo:

• Account Information: Name, email address, phone number, and assigned role (admin, manager, or operator).
• Production Data: Batch records, production metrics, quality parameters, and material inventory data entered during operations.
• Device Information: Device type, operating system, and app version when using the mobile application.
• Push Notification Tokens: Device tokens used for delivering real-time alerts to your mobile device.
• Website Enquiries: If you use the contact form on aacneo.com, we collect your name, email address, subject and message, and the phone number and plant name and location if you choose to give them. The form also receives a result from a security check (see Third-Party Services).

Your information is used to:

• Authenticate your identity and manage role-based access to the platform.
• Display production dashboards, analytics, and quality reports.
• Send push notifications for batch updates, alerts, and operational reminders.
• Improve the platform through aggregated, anonymized usage patterns.
• Reply to enquiries sent through the website contact form, including a confirmation email to the address you enter, and keep the form free of spam and abuse.

We take the security of your data seriously:

• All AAC Neo platform data (accounts and production records) is stored on secure cloud servers located in India. Website enquiries are handled by email and are not stored in the platform (see Third-Party Services).
• Authentication credentials are stored securely and are not accessible to client-side scripts.
• All communications between your device and our servers are encrypted in transit.
• Role-based access control ensures users only see data relevant to their responsibilities.

AAC Neo may use trusted third-party services to support platform functionality, including:

• Push Notification Services: To deliver real-time alerts to your mobile device. These services may collect device tokens necessary for message delivery.
• Cloud Infrastructure Providers: For secure data storage and application hosting.
• Email Delivery (Resend): Messages sent through the website contact form are delivered to us by Resend, which handles the message and your contact details to send it, and to send you a confirmation. We read enquiries in our company mailbox.
• Bot Protection (Cloudflare Turnstile): The contact form uses Cloudflare Turnstile to tell people from automated programs. To do this, Cloudflare may process technical information such as your IP address and browser details, under its own privacy policy.

These service providers are bound by their own privacy policies and are only given access to the minimum data necessary to perform their functions.

We retain your data for as long as your account is active or as needed to provide our services. Specifically:

• Account data is retained while your account remains active.
• Production and batch records are retained as long as required by your organization.
• Upon account deletion, personal data is removed within 30 days. Anonymized aggregate data may be retained for analytics.
• Website enquiries are kept in our company mailbox for as long as needed to answer you and follow up. To have yours deleted, email support@aacneo.com from the address you used.

You have the following rights regarding your personal data:

• Access: Request a copy of the personal data we hold about you.
• Correction: Request correction of any inaccurate or incomplete data.
• Deletion: Request deletion of your personal data, subject to legal and operational requirements.
• Portability: Request your data in a structured, machine-readable format.
